Choose QuickBooks Online if you want a wide set of plans for a growing US business, with inventory and project tracking from its Plus plan and up to 25 users on Advanced. Xero is the better value if you want unlimited users without per-user fees, you're a very small business, or you deal in multiple currencies on a budget. As of October 2026 Xero's US plans cost $27 to $97 a month with no per-user licence fees, while QuickBooks Online costs $38 to $340 a month at regular prices, with user limits from 1 to 25. Ask your accountant which they use before you decide, because that often matters more than features.

How we compared
We compared the US plans, prices and limits on QuickBooks' and Xero's own pricing pages as of October 2026, in US dollars. Both sell in other countries at different prices and with different features, so check your local page. We quote regular prices and mention introductory offers separately, since those end. We didn't test the software or compare bank feed coverage. We focused on what a small business pays over a year, how many people can use it, and which features push you into a higher plan.

What that means in practice: a business with 4 people who need access, paying regular prices for a year, would need QuickBooks Plus at $140 a month ($1,680 a year) because Essentials is capped at 3 users. On Xero, the same four people could share Growing at $59 a month ($708 a year), or Established at $97 a month ($1,164 a year) if they need projects or multi-currency.
Users and access
This is Xero's biggest advantage. QuickBooks Online ties users to the plan: 1 on Simple Start, 3 on Essentials, 5 on Plus and 25 on Advanced, plus accountant access. If your team grows past the cap, you move up a plan.
Xero says it has no per-user licence fees, so a growing team doesn't automatically mean a bigger plan.
Features that push you up a plan
QuickBooks: inventory and project profitability start on Plus. Unlimited classes and locations, workflow automation and batch invoicing are on Advanced.
Xero: Early's limit of 20 invoices and 5 bills a month is the big one; most active businesses will need Growing. Multi-currency and projects are on Established.
Accountants and ecosystem
Both are cloud tools that accountants and bookkeepers can be invited into. In practice, using the software your accountant already knows often saves more time and money than any feature difference, so ask them before you sign up. If you're starting a bookkeeping practice yourself, see how to start a bookkeeping business.
Where a custom tool fits
Don't build your own accounting system. Double-entry bookkeeping, bank feeds, tax forms and reports for your accountant are exactly what QuickBooks and Xero are for.
What you might build is the work that happens before the books: a branded quote and invoice portal for clients, a job tracker that turns completed work into invoice data, or an expense submission form for your team. With Mythex you describe it in chat, and it builds a working app with a database, sign-in and file storage when needed, with a live preview, and publishes to a URL in one click. Free gives you 5 credits a day and Pro starts at $25 a month. See how to build an invoicing app and how to build an expense tracker. Your accounting software stays the system of record; connecting the two through their APIs is extra code to build and maintain.
Questions to answer before you sign up
Accounting software is hard to switch later, so spend an hour on this first:
- Which tool does your accountant or bookkeeper use? Ask them directly.
- How many people need to log in? Count everyone, including part-time staff who enter bills or expenses.
- How many invoices and bills do you handle a month? Under 20 invoices and 5 bills fits Xero Early; more doesn't.
- Do you hold stock or run projects? That points to QuickBooks Plus or Xero Established.
- Do you deal in more than one currency? On Xero, that's Established.
- What will you pay after the intro offer ends? Budget on the regular price.
Both were offering discounted first months when we checked, so connect a real bank account and run a month of transactions before committing.
Who should pick which

- Very small business sending fewer than 20 invoices a month: Xero Early.

- You invoice or pay in several currencies: Xero Established.
Verdict
Xero is cheaper at every tier in the US and doesn't charge per user, which makes it great value for small and growing teams. QuickBooks Online costs more and caps users by plan, but it offers more tiers, up to 25 users, and includes inventory and project tools from Plus. Price both for your real number of users and invoices over a year, ignore the intro discounts, and let your accountant break the tie.
