Passes and memberships are the core

Generic booking tools sell appointments; a studio sells passes. Describe your products, drop-in, five and ten-class passes with an expiry, unlimited and eight-a-month memberships, and say what each booking does: deduct one class, or check that the membership is active and under its limit. Students see their balance after every booking, which ends the 'how many do I have left' conversation at the desk.

Waiting lists and the late-cancel rule

The 6pm class is full and two people will not show. Set a late cancellation window, often two to four hours, and decide what happens inside it: the class is still used, or a fee applies. Outside the window, a cancellation moves the first waiting student in and emails them. Apply the rule the same way for everyone, including regulars; inconsistency upsets people more than the rule itself.

Check-in at the door

Give teachers a list of who booked, with a tap to mark attendance and a flag for first-timers and anyone who added an injury note. Attendance recorded here is what later feeds teacher pay and the dashboard, so make check-in fast enough to use with a queue at the door.

Before you switch it on

Load every active pass with its remaining classes and expiry date, and every membership with its renewal date. Students arriving to find their balance missing will lose trust quickly. Run a week in parallel with the paper system, then announce the change with a short how-to-book note.
