How we compared
We compared the publicly stated features, plans and prices on each vendor's own pricing page as of October 2026. We did not do hands-on testing. Prices are in US dollars where the page showed them; SimplyBook.me showed only euros, so we list euros. We couldn't load Acuity's pricing page, so we've left its prices out rather than guess. Square and similar tools charge card processing fees on top of any plan, which can matter more than the subscription.
We looked at what a small business actually runs into: the free plan's limits, the price per user or location, and whether the tool is built for meetings (one person, a calendar link) or for appointments (services, staff, payments, no-shows).
Calendly
Calendly is the best-known scheduling link. As of October 2026, the free plan includes one event type, one calendar connection and one-on-one scheduling, with a customizable booking page and browser extension. Standard is $10 per seat per month billed yearly (the page says yearly saves 17%, so monthly billing costs more).
Suits: consultants, sales teams, recruiters and anyone booking calls. Real limits: the free plan's single event type is tight if you offer more than one kind of meeting. It's built for meetings rather than services with prices, staff rotas and deposits. Our Calendly vs Cal.com guide compares the two closely, and Calendly alternatives covers more options.
Cal.com
Cal.com has one of the most generous free plans here. As of October 2026, it's free forever for one user, with unlimited event types and calendars, email and SMS notifications, 100+ app integrations, Stripe and PayPal payments, two-way Salesforce and HubSpot sync, and one-click import from Calendly. Teams is $12 per user per month billed yearly (shown with a 25% saving, so monthly billing costs more).
Suits: solo professionals who want more than Calendly's free plan, and teams that want open-source scheduling they can customize. Real limits: like Calendly, it's meeting-first; salons and clinics with staff and services may prefer an appointment tool.
Square Appointments
Square Appointments is free for solo professionals taking payments, as of October 2026: $0 a month per location, with an online booking site, appointment reminders and unlimited staff calendars. You pay processing fees instead; on the free plan, online card payments are 3.3% + 30¢ and in-person card payments 2.6% + 15¢. Plus is $49 a month per location and adds cancellation policies, no-show fees, multi-staff appointment booking and a waitlist, with lower online card rates (2.9% + 30¢). Premium is $149 a month per location.
Suits: salons, barbers, spas, trainers and other service businesses that take card payments, especially if they already use Square at the counter. Real limits: processing fees add up on a busy calendar, and features like no-show fees need Plus.
Setmore
Setmore's free plan covers up to 4 users as of October 2026, which is unusually generous for a team. It has email reminders only, no two-way calendar sync, no recurring or video appointments, no deposits, and Setmore branding stays on the booking page. Pro is $5 per user per month billed annually; the monthly price is higher.
Suits: small teams that want free shared booking, like a small salon or clinic front desk. Real limits: the free plan's lack of two-way calendar sync and SMS reminders is the main reason people upgrade.
Zoho Bookings
Zoho Bookings is free forever for one user as of October 2026, with online meetings, email notifications and reminders, and two-way sync with Zoho, Google and Microsoft 365/Outlook.com calendars. Basic is US$6 per user per month billed yearly, or US$8 billed monthly.
Suits: solo professionals and small teams that want low per-user prices, especially those already on Zoho CRM or other Zoho apps. Real limits: the free plan is single-user, so any team pays from day one.
SimplyBook.me
SimplyBook.me's free plan allows 50 bookings a month and 1 provider as of October 2026. Basic is €11.90 a month billed annually or €13.90 billed monthly. Its pricing page lists prices in euros; add-ons like SMS packs are sold separately.
Suits: businesses that want a full booking website with lots of options and add-ons. Real limits: 50 bookings a month on the free plan is enough to try it, not to run a busy business.
Acuity Scheduling
Acuity Scheduling, owned by Squarespace, is aimed at service businesses such as beauty, wellness, fitness, coaching and tutoring. Its site lists online booking, client management, class scheduling, payments, invoicing and availability controls. We couldn't load its pricing page when we checked, so we haven't listed a price; see acuityscheduling.com for current plans.
Suits: coaches and wellness or beauty businesses that want classes, intake details and payments in one tool, and Squarespace site owners. Real limits: confirm plan prices and seat limits on the site before you choose.
How to choose
- Meetings or appointments? If you book calls, start with Calendly or Cal.com. If you sell services with staff and prices, start with Square Appointments, Setmore or Acuity.
- Count staff and locations. Free plans differ a lot: Setmore covers 4 users, Zoho Bookings and Cal.com cover 1.
- Add up payment fees. For a paid-booking business, card fees can cost more than the plan.
- Check the feature that hurts most: two-way calendar sync, SMS reminders, deposits or no-show fees are often paid-only.
When a custom booking app makes more sense
Standard booking tools are built around a person and a calendar. That covers most businesses. It covers less when you book things as well as people: rooms, equipment, boats, multi-day rentals. Or when prices depend on the customer, or booking is one part of a bigger flow with intake forms, quotes and a client portal.
In those cases, a custom booking app can follow your rules exactly. With Mythex, you describe the app in chat, watch it take shape in a live preview, and publish it to a URL in one click, with a database, login and file storage added when the app needs them. The Free plan gives 5 credits a day; Pro starts at $25 a month and adds code export, GitHub and Android and iPhone apps. For staff rotas rather than customer bookings, see the scheduling builder. Our guide on how to build a booking app walks through it, and how to build a clinic appointment system covers a common case.
The honest trade-off: you set up payments, reminders and calendar sync yourself, and there's no ready-made marketplace of integrations. For most small businesses, Square Appointments, Setmore or Cal.com is the faster answer. Build your own when your booking rules are the thing the standard tools can't handle.

- Free plan for a small team: Setmore.
- Lowest per-user price, Zoho user: Zoho Bookings.

Verdict
Start free: Cal.com or Calendly for meetings, Square Appointments or Setmore for service appointments. Pay only when a real limit bites, usually calendar sync, SMS reminders, deposits or more staff. For businesses that take payment at booking, compare processing fees as carefully as the plan price. And put the booking link where customers already look, on your website and Google profile, because the best tool won't help if people can't find it.
Questions
What is the best free booking software for a small business?
As of October 2026, Square Appointments has a $0 plan for solo professionals with unlimited staff calendars (you pay card processing fees), Setmore's free plan covers up to 4 users, Cal.com is free forever for one user with unlimited event types, and SimplyBook.me's free plan allows 50 bookings a month for 1 provider.
Is Calendly good for salons, clinics and other service businesses?
Calendly is built mainly for meetings: sales calls, interviews and consultations. It works for simple appointments, but service businesses that need staff calendars, services with prices, deposits, no-show fees or a waitlist are usually better served by tools like Square Appointments, Setmore or Acuity.
What is the cheapest booking software for a team?
Among the tools here, Setmore Pro lists $5 per user per month billed annually and Zoho Bookings Basic lists US$6 per user per month billed yearly, as of October 2026. Calendly Standard is $10 per seat per month billed yearly and Cal.com Teams is $12 per user per month billed yearly.
Can booking software take payments and deposits?
Many can. Cal.com's free plan accepts payments through Stripe and PayPal, and Square Appointments takes card payments with processing fees and adds cancellation and no-show fees on its Plus plan. Setmore lists deposits as a paid-plan feature, not on its free plan.
When should I build my own booking app instead?
When your bookings have rules standard tools can't express, like equipment or rooms as well as staff, multi-day rentals, custom pricing per customer, or a booking flow that's part of a larger client portal. A custom app fits the rules exactly, but you take on setting up payments, reminders and calendar sync yourself.
