Use Google Docs when the job is writing a document: a proposal, a report, a contract, a letter, anything you'll share with clients or edit with people outside your team. Use Notion when the job is organising knowledge: a team wiki, meeting notes linked to projects, a content calendar, specs that sit next to a task database. Google Docs is free with any Google Account; Notion is free for individuals, and teams usually pay $10 per seat per month, billed yearly, as of October 2026. Plenty of teams use both: Notion as the home base, Google Docs for documents that leave the building.

How we compared
We took prices, plan limits and listed features from Notion's and Google's own pages in October 2026. Prices are US list prices; both vendors vary prices by region, and Google runs introductory discounts. We did not run hands-on tests for this article or compare AI output quality. Google's help center confirms suggesting edits and publishing to the web. Anything we couldn't confirm on the vendors' sites we left out.
The real difference: documents vs a workspace
Google Docs is a word processor. Each file is a document with pages (or a pageless mode), and it lives in Google Drive with your other files. It does one thing very well: several people writing and editing the same document at once, with comments and suggestions, on the web, a phone or a tablet. Google's own page also lists smart chips (type @ to insert people, files, dates or meeting notes), document tabs for long documents, templates, offline editing, and importing Word documents and PDFs.
Notion is a set of building blocks. A page can hold text, but also a database of tasks, a gallery of projects, an embedded calendar, or links to other pages. That makes it good at structure: a wiki where each page links to the next, a product spec that sits next to the issues it creates, a hiring tracker where each candidate is a page. The trade-off is that Notion is weaker at "documents" in the old sense: fixed pages, precise layout and print-ready files.
A simple test: if the output is a file someone will download, print or sign, start in Google Docs. If the output is a living page your team will come back to and update, start in Notion.
Pricing
Notion
As of October 2026, Notion's pricing page lists:
- Free: $0. Unlimited pages and blocks for individuals, but limited for workspaces with 2 or more members. 5 MB file uploads, 7 days of page history, 10 guests, basic forms and sites, 1 chart.
- Plus: $10 per seat per month billed yearly, $12 monthly. Unlimited blocks and uploads, 30 days of history, unlimited guests, custom forms and sites, unlimited charts, custom database automations. Notion AI is a trial.
- Business: $20 per seat per month billed yearly, $24 monthly. Adds Notion Agent, Custom Agents, AI Meeting Notes, Enterprise Search (beta), SAML SSO, private teamspaces and 90 days of history, with 1,500 Standard and 500 Select AI credits per seat per month.
- Enterprise: custom pricing, with SCIM, audit log and zero data retention with AI providers.
Google Docs
Google Docs itself is free for anyone with a Google Account, which includes 15 GB of storage shared across Gmail, Drive and Photos. For business use, Google Docs comes with Google Workspace. Google lists US prices on an annual plan of $7 (Business Starter), $14 (Business Standard) and $22 (Business Plus) per user per month, or $8.40, $16.80 and $26.40 on the month-to-month Flexible plan. Workspace also gives you business Gmail on your own domain, Drive, Sheets, Slides, Calendar and Meet. Some Docs features, such as joining a Meet call from inside a document, need a Workspace plan.
For a team that already pays for Google Workspace, Docs costs nothing extra. Adding Notion means a second subscription. Our Google Workspace vs Microsoft 365 guide covers the suite choice.
Collaboration
Both handle real-time editing well. The difference is who you're collaborating with.
- Inside the team: Notion's teamspaces, permission groups and linked pages make it easy to find things later. Google Docs files can sprawl across folders and "Shared with me" unless someone keeps Drive tidy.
- Outside the team: Google Docs wins. Almost everyone has used it, sharing is a link, and a client can suggest edits without learning a new tool. Notion's Free plan allows 10 guests; paid plans allow unlimited guests, but guests still have to learn Notion.
For review cycles, such as a lawyer marking up a contract or an editor working on an article, Google Docs' suggestion mode is the better fit.
Databases and structure
This is Notion's biggest advantage. Any page can contain a database with custom properties, filters, subtasks and dependencies, shown as a table, board or calendar. Our Airtable vs Notion guide goes deeper on how far Notion's databases stretch.
Google Docs has no databases. The Google equivalent is a Google Sheet linked from the document. It works, but the doc and the data live in separate files.
AI
- Notion: Free and Plus include a limited trial of Notion AI. The full set (Notion Agent for chat, generating, autofill and translation, plus Custom Agents and AI Meeting Notes) is on Business and Enterprise.
- Google Docs: Google Workspace Business Standard and above include Gemini in Docs, which Google says can draft documents using information from Drive, Gmail and Chat. Business Starter includes Gemini in Gmail rather than in Docs.
If you already pay for Workspace Standard, you have AI in Docs at no extra cost. Getting Notion's full AI means the $20 Business plan.
Who should pick which
| Your situation | Better fit |
|---|---|
| Writing proposals, contracts and reports for clients | Google Docs |
| A team wiki or handbook people will keep updating | Notion |
| Meeting notes linked to projects and tasks | Notion |
| Editing with people outside your company | Google Docs |
| Your team already pays for Google Workspace | Google Docs, add Notion only if you need databases |
| A solo founder organising notes, ideas and plans | Notion Free |
| You need suggested edits or a polished file to send | Google Docs |
| A small public page or help centre | Notion Sites (or a proper site builder) |

When to outgrow both
Teams often push documents and databases past what they're good at. A Notion database becomes the client list, the order tracker and the booking system. A shared Google Doc becomes the intake form. It works until you need clients to see only their own records, a form that writes straight into your data, or rules about who can change what.
At that point a small custom app may fit better. With Mythex you describe the app in chat, see it in a live preview and publish it to a URL; it adds a database and login when the app needs them, so clients can sign in and see just their records. Free gives 5 credits a day and Pro starts at $25 a month. Keep Notion or Google Docs for the writing; move the process into the app. For other options in the same space, see our Notion alternatives.
Verdict
Google Docs is the better writing tool: free, familiar to everyone, strong at suggested edits and page-based documents, and already paid for if you use Google Workspace. Notion is the better place to organise a team's knowledge: wikis, linked notes, specs and lightweight databases in one place, with a free plan for individuals and Plus at $10 per seat per month billed yearly. If you can only have one, pick by your most common output: files that leave the team point to Google Docs; pages your team lives in point to Notion.
Questions
Is Notion better than Google Docs?
For a team wiki, project notes linked to tasks, or anything that mixes documents with databases, Notion is the stronger tool. For writing and editing documents with other people, especially people outside your company, Google Docs is simpler and more familiar. Many teams use both.
Is Google Docs free?
Yes. Anyone with a Google Account can use Google Docs for free. The free account includes 15 GB of storage shared across Gmail, Google Drive and Google Photos, as of October 2026. Business features come with a Google Workspace plan, from $7 per user per month on an annual plan in the US.
Is Notion free for teams?
Notion's Free plan is unlimited for individuals, but blocks are limited once a workspace has two or more members, file uploads are capped at 5 MB, and page history is 7 days, as of October 2026. Most teams move to Plus at $10 per seat per month billed yearly, or $12 monthly.
Can Notion replace Google Docs?
For internal notes, wikis, meeting notes and specs, yes. Where it falls short is formal documents: contracts, client-facing reports and anything that needs fixed pages, suggested edits or a polished file to send. Google Docs also has a built-in eSignature feature, which Notion does not list.
Which has better AI, Notion or Google Docs?
Both have AI. Notion's full AI features, including Notion Agent and AI Meeting Notes, are on the Business plan ($20 per seat per month billed yearly); Free and Plus get a trial. Google includes Gemini in Docs on Google Workspace Business Standard and above ($14 per user per month on an annual plan in the US). We did not compare output quality.
