Use Airtable when your work is really structured data: many linked tables, thousands of records, automations and custom interfaces on top. Use Notion when your work is mostly documents and knowledge — wikis, notes, specs, meeting notes — with some lightweight databases mixed in. Notion is cheaper per seat; Airtable handles data-heavy workflows better. If your data needs an app that neither fits well, a simple custom version is also an option.

How we compared

We compared the publicly stated features, limits and prices on Airtable's and Notion's own websites and help centres as of September 2026. We did not do hands-on testing, and we left out claims we couldn't confirm on the vendors' own pages. Prices are in US dollars.

Airtable: a database you can build apps on

Airtable now calls itself an app-building platform. Under the hood it's a relational database with a spreadsheet-like grid: you create tables, link records between them, and build views, automations and interfaces on top. Its site also promotes AI app building, AI agents and portals for outside collaborators.

Plans (as of September 2026):

• Free: 1,000 records per base, 1 GB of attachments per base, 2 weeks of revision history, 1,000 API calls a month, up to 5 editors. New accounts get a 14-day Team trial first.
• Team: $20 per editor per month billed yearly ($24 monthly). 50,000 records per base, 20 GB of attachments per base, 1 year of history. Adds automations, extensions, Interface Designer, and timeline and Gantt views. Includes 15,000 AI credits per billable collaborator a month.
• Business: $45 per editor per month billed yearly ($54 monthly). 125,000 records per base, 100 GB of attachments per base, two-way sync and an admin panel. Airtable says Business needs a private email domain (not Gmail or Yahoo).
• Enterprise Scale: custom pricing.

Airtable charges for users with edit permissions. Read-only collaborators, form submissions and share links are free.

Strengths: proper relational data; many views of the same records; automations and interfaces for non-technical teammates; a clear free tier for small tests.

Limits: per-seat pricing adds up for large editing teams; record caps per base matter once a table grows; it's not a place to write long documents.

Notion: docs and knowledge, with databases inside

Notion is a workspace where pages, wikis and databases live together. A Notion database can be a task board, a content calendar or a simple CRM, and it sits right next to the docs that explain it. Notion also offers forms, published sites and Notion Calendar.

Plans (as of September 2026):

• Free: $0. Unlimited blocks for individuals but limited for workspaces with 2 or more members, 5 MB file uploads, 7 days of page history, up to 10 guests, and a trial of Notion AI.
• Plus: $10 per member per month billed yearly ($12 monthly). Unlimited blocks and file uploads, 30 days of history, unlimited charts, custom forms and sites.
• Business: $20 per member per month billed yearly ($24 monthly). Adds Notion Agent, AI Meeting Notes, Enterprise Search (beta), SAML SSO, private teamspaces and 90 days of history.
• Enterprise: custom, with SCIM, audit logs and zero data retention with Notion's AI model providers.

Custom domains for Notion sites cost $8 a month per domain on annual billing. Custom Agents, which run repetitive tasks for you, are free to try and then billed at $10 per 1,000 Notion credits a month.

Strengths: one place for docs and light data; easy for a whole company to adopt; strong AI features on Business; cheaper per seat than Airtable.

Limits: databases are good but lighter than Airtable's for large, heavily linked data; the Free plan is really for individuals; to get the full AI features you need Business.

Key differences that matter

Data vs documents. This is the real decision. If the heart of your work is rows and fields — orders, assets, applicants, SKUs — Airtable is designed for it. If the heart is writing and knowledge, Notion is.

Who pays. Notion charges for every workspace member. Airtable charges only for people who can edit, and read-only users are free. A team where a few people edit and many people look may find Airtable's seat count smaller than expected.

Scale. Airtable publishes record limits per base on each plan. Notion's Free limits are about blocks and members rather than records.

Building apps. Airtable's Interface Designer and portals turn bases into simple apps for teammates and outside users. Notion's equivalent is building pages and publishing sites, which suits documentation more than transactional apps.

AI. Both include AI. Airtable includes monthly AI credits on paid plans. Notion reserves Notion Agent and AI Meeting Notes for Business and up.

Who should pick Airtable

• Operations teams tracking inventory, assets, vendors or orders.
• Content and marketing teams running a production pipeline with many linked records.
• Teams that want automations and simple interfaces without writing code.

• Companies that want an AI agent working across their docs and connected apps (Business plan).

When a custom app makes more sense

Both tools stretch a long way, but some teams end up with a base or workspace that's really an application: a client-facing portal, a booking flow with your own rules, or an internal tool that needs strict permissions and custom logic. Paying per seat for many editors can also get expensive.

That's where building your own simple tool can be reasonable.
