HVAC Inventory App for Van Stock, Parts and Refrigerant

HVAC inventory is mostly about vans: if the right capacitor is not on board, the customer gets a second visit. Describe what you carry and where to Mythex and it builds an inventory app with stock per van, reorder points and refrigerant logged per job.

Who it's for

HVAC companies whose technicians restock from the warehouse shelf without telling anyone, whose refrigerant records are on paper, and who order the same part twice for the same job.

What you can build

  • Stock per van and in the warehouse
  • A standard van list with minimum quantities
  • Filters, capacitors, contactors and thermostats with reorder points
  • Refrigerant by cylinder and amount used per job
  • Parts on order reserved for specific jobs
  • A weekly restock list per van

Stock every van from the same list

Build a standard van list from the jobs you do most and set a minimum for each item. Parts used are recorded against the job, and at the end of the week each van gets a restock list. First-time fix rates rise, and you can see where parts are disappearing.

Refrigerant by cylinder

Log each cylinder with its type and weight, and record the amount added or recovered on each job. In many places refrigerant handling carries record-keeping duties, so check the rules that apply where you operate.

  • Cylinder type and weight
  • Amount used per job
  • Recovered refrigerant logged

Parts reserved for booked jobs

When a part is ordered for a specific install or repair, reserve it against that job so nobody takes it for another call. Equipment for installs, such as condensers and air handlers, is tracked by serial number from delivery to commissioning.

Mistakes to avoid

Do not track every screw; track the parts that cause return visits. Do not let stock move between vans without a transfer record. And count vans monthly even if the system looks right.

A prompt to start from

Build an inventory app for my HVAC company. Track stock in the warehouse and in each of five vans, with a standard van list and minimum quantities. Technicians record parts used per job, and each van gets a weekly restock list. Log refrigerant by cylinder with amount used per job, and reserve ordered parts for specific jobs.

Questions

Do we need to record refrigerant used on each job?

In many places refrigerant handling comes with record-keeping duties. Check the rules that apply where you operate; the app can log quantity and cylinder per job.

Can technicians update stock from their phones?

Yes. The app runs in a phone browser, so parts used are logged from the job.

Can I import my parts list?

Yes. Export it to CSV and ask Mythex for an import.

Do I need to code?

No. You describe what you stock and change it by chatting.

Is there a free plan?

Yes, with no card. Pro is $25 a month for a custom domain, code editing, export and more credits.
