When a client asks for the rose to be smaller or the script moved, write it down where both of you can see it. Post each draft to the portal, let the client comment, and keep every version. Questions like 'did we agree on color?' are answered by scrolling up, and the artist walks into the session with a clear, approved design.

Paperwork done before the chair

Filling in consent and showing ID at the chair delays the start and rushes the health questions. Ask clients to complete consent and upload ID in the portal a few days before. The artist sees anything that affects the session in advance, like a medication or skin condition, and can call the client before setup rather than after.

After the session

Each session adds aftercare instructions and a healing check-in a couple of weeks later, where the client uploads a photo. That is when a touch-up gets booked, and with consent, the healed photo becomes portfolio work. Healed photos are the best proof of quality a studio has.

Keep it private

Consent forms, ID and health answers are sensitive. Restrict them to the client, their artist and the studio manager, and keep records for as long as your local licensing requires. Make portfolio use of photos a separate opt-in.
