Coffee Roastery Inventory App: Track Green Beans and Roasted Stock with AI
A roastery inventory app tracks two kinds of coffee: green lots in kilos and roasted bags with a roast date. Describe how you roast and Mythex builds an app where each batch takes green weight out, adds roasted stock in, and records roast loss along the way.
Who it's for
Roasters who order green coffee by the sack, roast on set days, and want to know weeks ahead when a lot is running out, instead of finding the last sack is half empty on roast morning.
What you can build
- Green coffee lots with origin, arrival date and kilos left
- A roast batch log with green weight in and roasted weight out
- Roast loss per coffee and roast level, worked out per batch
- Roasted bags by roast date, oldest shipped first
- Bags, valves, labels and boxes with reorder points
- A stocktake screen for the roastery floor on a phone
Green and roasted are separate stock
A 60 kg sack of green coffee does not become 60 kg of bags. It loses moisture and weight in the roaster, by different amounts for different coffees and roast levels. Keep green lots and roasted stock as separate items and link them through a roast batch: kilos in from the lot, kilos out as roasted coffee, then bags packed. The batch record is what keeps both counts honest.
- Green lot: origin, producer, arrival, kilos
- Batch: lot, green kg in, roasted kg out, roast date
- Roasted stock: coffee, bag size, roast date, count
Plan the next green purchase early
Green coffee from a specific farm or harvest can take weeks or months to arrive, and a popular lot may not be available again. Use average kilos roasted per week to show how many weeks each lot has left, and set a warning far enough ahead to order. A low-stock alert on the day you run out is too late for coffee.
Mistakes to avoid
Do not adjust green stock by hand when you roast; record the batch and let the app reduce it, or your roast loss figures are meaningless. Do not forget packaging: running out of valve bags on dispatch day stops the whole week. And give roasted stock a roast date from the start, so first in, first out is something the app shows you rather than something you remember.
What to enter first
Weigh what green coffee you have and enter each lot. Add the coffees you sell with their bag sizes, then your packaging items with a reorder level each. On the next roast day, log every batch through the app. After two or three weeks you will have real roast loss numbers and a sense of how fast each lot goes.
A prompt to start from
Build an inventory app for my coffee roastery. Track green coffee lots in kilos with origin and arrival date; a roast batch form takes a lot, green kilos in and roasted kilos out, works out roast loss and adds roasted stock with the roast date. Show weeks of green stock left per lot based on the last month's roasting, packaging items with reorder levels, a phone-friendly stocktake screen and login for staff.
Questions
Does it keep a history of every roast?
Yes. Each batch is saved with date, lot, weights and who roasted it, so you can look back at roast loss and volumes for any coffee.
Can I use it on a phone in the roastery?
Yes. The published app works in a phone browser, and you can ask for a simple screen for logging batches and counting stock. On Pro it can also become an Android or iPhone app that opens your published app.
Can it link to my online shop?
If your shop is built in Mythex in the same app, roasted stock and shop stock can be the same records. With an outside shop, you can import orders from a CSV.
Do I need to know how to code?
No. You describe how your roastery works and Mythex builds it with a live preview. Change fields or screens by asking in chat.
How much does it cost?
The Free plan has daily credits and no credit card, enough to build and publish a first version. Pro is $25/month with more credits, code editing, export and a custom domain.
