Build a Veterinary CRM for Owners, Pets and Recalls

A veterinary CRM keeps the relationship side of the clinic: who owns which pets, what is due when, and whether the reminder worked. Describe your recall rules and Mythex builds a CRM with owners, pets, due dates, automatic reminders and the overdue list, on a real database.

Who it's for

Clinics sending booster reminders by hand when someone remembers, losing track of lapsed clients, and occasionally reminding the owner of a pet that has already died.

What you can build

  • Owners linked to several pets with species, breed and birth date
  • Due dates for vaccinations, parasite treatment and dental checks
  • Reminders sent automatically ahead of each due date
  • A deceased flag that stops every reminder for that pet
  • An overdue list for reception to call
  • Referral source: breeder, rescue, neighbour, search

Owners and pets as separate records

One household may have two dogs, a cat and a rabbit, each on its own schedule. Store owners and pets separately and link them, so a change of phone number is made once and each animal keeps its own history. Add a microchip number field and a second contact for households where two people bring the animals in.

  • Owner: contacts, address, preferred channel
  • Pet: species, breed, DOB, microchip, status
  • Due items per pet

Recalls that run themselves

Each vaccination or treatment sets the next due date by your rule, for example annual boosters. The CRM sends a reminder a few weeks before and another nearer the date through an email or SMS service you connect, and logs whether the owner booked. Reception gets a list of pets overdue by more than a month to call.

The deceased flag

When a pet dies, staff mark it immediately and every pending reminder for that pet is cancelled. A booster reminder arriving after a loss is one of the most painful mistakes a clinic can make. Add a condolence note option, and keep the owner's other pets on their normal schedule.

Use it to see drift

Count pets overdue for vaccination each month. A steady rise usually means reminders are failing or clients are leaving. Track referral sources too: breeders and rescues that send new puppies and kittens are worth thanking.

A prompt to start from

Build a CRM for my veterinary clinic. Owners link to several pets with species, breed, date of birth and microchip number. Each vaccination, worming or dental check sets the pet's next due date. Send reminders 21 and 7 days before through my SMS service and log whether a booking followed. A deceased flag cancels all reminders for that pet. Show reception a list of pets more than 30 days overdue, and track referral sources.

Questions

Can one owner have several pets?

Yes. Owners and pets are separate records, linked together, and each pet has its own due dates and history.

Can it send booster reminders automatically?

Yes, through an email or SMS service connected under your own account. You set the timing and wording.

Can I import my current client list?

Yes. Export a CSV from your practice system and ask for an import; Mythex maps the columns and reports rows it could not read.

Is client data kept private?

Ask for staff login and role-based access and Mythex builds them in. Check the data protection rules where you practise before loading live records.

Is it free?

The Free plan needs no credit card and gives daily credits, enough to build and publish a first version. Pro is $25/month.
