Send the portal link a few days before the stay. Ask for arrival time, dietary needs and whether it is a special occasion, then offer an upgrade, a dinner table or parking. Guests who have already paid are often happy to add small extras, and reception knows about the anniversary before the guest arrives.

Corporate accounts see their own rate

Each company gets a login with its negotiated rate, the travellers allowed to book, and a list of its bookings and invoices. The booker stops emailing to check what was reserved, and your sales team sees how many nights each account produced this year.
