Car Rental Dashboard Builder: Utilization, Revenue per Car and Today's Hires
Mythex builds a car rental dashboard from your bookings and fleet list: describe the numbers you want and it creates the charts, filters and database behind them. The figures that matter most are utilization by vehicle class, revenue per car, and what is going out and coming back today.
Who it's for
Owners and fleet managers who have bookings in one system, the fleet in a spreadsheet and the service dates in someone's head, and who want one screen that tells them which cars earn their keep.
What you can build
- Utilization by vehicle class by week: booked days divided by available days
- Revenue per car over 90 days, sorted so the laggards show at the bottom
- Cars off the road for repairs or service, with expected return dates
- Today's pickups and returns per branch
- Booking source split: direct, brokers and business accounts
- Cars approaching their service mileage
The numbers a rental fleet runs on
Total bookings tell you little. Utilization per class shows where you are short of cars and where you have too many. Revenue per car shows which vehicles are worth keeping, because a class that is always booked might be underpriced and a car that rarely goes out could be sold before it loses more value. Off-road days show what repairs really cost you. Ask for these four first, then add whatever you find yourself checking every week.
- Utilization per class
- Revenue per car
- Off-road days
- Booking source
Getting your data in
If you already build bookings and the fleet in the same Mythex app, the dashboard reads them directly. If not, export your bookings and fleet list as CSV files and ask for an import for each. Check the first import against a week you know well: the number of hires, the revenue and the cars involved. Once the figures match, you can keep importing or move bookings into the app so the dashboard is always current.
Mistakes that make fleet numbers lie
Counting a car as available on days it was in the body shop inflates utilization losses; mark off-road periods so they are excluded. Mixing one-way hires into the wrong branch's figures hides where the fleet actually ends up. And comparing summer with winter by total revenue says nothing useful; compare the same weeks year on year, or utilization by week, instead.
- Exclude off-road days from availability
- Attribute one-way hires to both branches
- Compare like weeks, not seasons
A prompt to start from
Build a dashboard for my car rental company. Import my fleet (plate, class, branch, mileage, service interval) and bookings (car, class, pickup and return dates, branch, source, revenue) from CSV. Show utilization per class by week excluding off-road days, revenue per car for the last 90 days, cars currently off-road, cars due for service, and today's pickups and returns per branch, with a date range filter and export.
Questions
Can it use my own booking data?
Yes. Import CSV exports from your current system or spreadsheet, or build the bookings in the same app so the dashboard reads them live.
Can it show utilization per vehicle class?
Yes. Ask for booked days divided by available days per class, by week, with off-road days excluded from the available count.
Can my branch managers see it?
Yes. Add user logins and roles, and you can limit each manager to their own branch's figures if you want.
Can I check it on my phone?
The published dashboard works in a phone browser. On Pro you can also get Android and iPhone apps that open your published app.
Do I need a BI tool or a developer?
No. Describe the charts in plain language and Mythex builds them with the database behind them. You can change any chart by chatting.
