Coworking Booking System for Meeting Rooms, Desks and Day Passes
Mythex builds a coworking booking system from your description: meeting rooms booked by the hour, hot desks and day passes by date, each plan's monthly room-hour allowance shown as members book, and separate rates for outside guests. Every booking is saved in a real database, so two people can never hold the same room at the same time.
Who it's for
Coworking operators whose meeting rooms are managed on a shared calendar or at reception, and who keep settling arguments about who booked the big room. It also suits spaces that rent rooms to non-members and want those bookings paid before the meeting.
What you can build
- Six meeting rooms with capacity, screen and whiteboard listed, booked in 30-minute slots
- Members spending 8 included room hours a month, then paying per extra hour
- A phone booth that can only be held for an hour at a time
- Non-members booking the boardroom at a public rate
- Day passes that reserve a hot desk and send the Wi-Fi details
- Rooms blocked for a members' event on Thursday evening
What coworking booking must handle
Coworking booking is about shared resources, not staff appointments. Each room has its own capacity, equipment and opening hours. Members book against an allowance tied to their plan; guests book at a different rate; some rooms are members-only. Desks work by the day rather than the hour. The rules need to be fair and visible, otherwise one company quietly takes the best room every morning.
- Rooms and desks as bookable resources with their own hours
- Monthly room-hour allowance per plan, with a live balance
- Member, company and guest pricing
- Maximum booking length and how far ahead people can book
- Admin blocks for events, cleaning or maintenance
Mistakes to avoid
Do not leave fair use unwritten; put the allowance and the overage price into the system so the balance settles disputes for you. Do not let no-shows hold peak rooms: ask for an automatic release if nobody checks in within 15 minutes, or a cancellation cut-off. And do not track overage by hand at month end. If the booking system records hours used, invoicing can read them directly.
What to set up first
List your rooms with capacity and equipment, your opening hours, and each plan with its included hours. Import members and the companies they belong to. Then build the member booking page and a reception view of today's bookings. Guest booking, day passes and check-in can come in the next round of chat.
- Rooms, capacities and equipment
- Plans and their monthly room hours
- Members linked to companies
Paying for bookings
Member overage can go on the monthly invoice. Guests and day pass buyers usually pay up front; card payments need your own payment provider account, which you connect by asking in chat and adding your keys in project settings.
A prompt to start from
Build a booking system for our coworking space. Members log in and book meeting rooms in 30-minute slots; each plan includes monthly room hours, and the booking page shows the balance and charges extra hours at a set rate. Non-members can book selected rooms at a public rate, and anyone can buy a day pass for a hot desk. Prevent double bookings, release rooms if nobody checks in within 15 minutes, and give reception a view of today's bookings.
Questions
Can members book without asking reception?
Yes. They log in, pick a room and a free slot, and the booking is confirmed straight away. Reception sees the day's bookings in one list.
Can each plan have its own room allowance?
Yes. Tell Mythex how many hours each plan includes per month. The booking page shows the remaining balance and charges extra hours at the rate you set.
Can I block rooms for events or cleaning?
Yes. Ask for an admin block and the slot picker stops offering those times. You can also set opening hours per room.
Can members book from their phone?
Yes, the pages work in any phone browser. On Pro you can also turn the app into Android and iPhone apps that open your published app.
Do I need to know how to code?
No. You describe your rooms and rules and Mythex builds the system with a live preview. You change it by chatting.
How much does it cost?
The Free plan needs no credit card and includes daily credits and publishing. Pro is $25/month and adds code editing, export, GitHub, custom domains and credit top-ups.
