Hair Salon CRM: Client Cards, Colour Formulas and Overdue Regulars
A hair salon CRM is a digital client card: every visit, the colour formula with developer strength and timing, notes from the chair and how often the client usually comes. Mythex builds it from a description of how your salon works, adds a list of regulars who are overdue, and publishes it with a real database.
Who it's for
Salons that keep colour formulas on index cards in a box or in each stylist's phone, and owners who worry that when a stylist leaves, the clients and their formulas leave too.
What you can build
- Colour formula per visit: shades, developer volume, processing time, result
- Visit history with stylist, service and notes
- Rebooking interval, like roots every six weeks
- Clients overdue for their usual service by two weeks or more
- Patch test dates and any reactions noted
- Retail products bought and what the stylist recommended
The formula is the salon's, not the stylist's
Record the formula after every colour appointment: the shades and proportions, developer strength, where it was applied, timing and how it came out. When the usual stylist is off, another can match the result, and the client stays with the salon. Keep the record on the client, not in a stylist's personal notes.

The overdue list
Each regular has a usual interval. When someone who comes every six weeks hits eight with nothing booked, they appear on the overdue list. A short, personal message from their stylist ('your roots must be ready, I have Thursday at four') books most of them. Logging that message shows whether it worked.
Mistakes to avoid
Do not write formulas only on paper at the colour bar; they never make it into the record. Do not store notes you would not want a client to read, since clients may ask what you hold about them. And collect marketing consent before sending offers, separate from appointment reminders.
What to put in first
Import clients from your phone or booking app, then enter formulas for your top hundred colour clients from the card box. Set a usual interval for each regular and turn on the overdue list. Everything else builds up visit by visit.
A prompt to start from
Build a CRM for my hair salon. Each client has contact details, marketing consent, visit history with stylist and service, colour formula per visit (shades, developer volume, processing time, result notes), patch test date and reactions, and a usual rebooking interval. Show a list of clients overdue by two weeks or more, sorted by stylist, and let stylists log a message sent.
Questions
Can I store colour formulas for each client?
Yes. Each visit can carry a formula with shades, developer strength, timing and result, visible to staff at the chair.
Can it tell me which regulars are overdue?
Yes. Set a usual interval per client and the CRM lists anyone past it without a booking.
Can I import clients from my current system?
If you can export a CSV, yes. Upload it and ask Mythex to map the columns.
Can I send offers from it?
Yes, by connecting an email or SMS service, to clients who have given marketing consent.
What does it cost?
Free needs no card and lets you publish the client cards. Pro, $25 a month, adds a custom domain and more credits.
