Manufacturer Invoicing App: Bill Each Dispatch Against the PO
A manufacturer's invoicing app should raise an invoice the moment goods ship, matched to the customer's purchase order line by line, with tooling and setup billed apart from unit prices. Describe your orders and terms to Mythex and it builds the app with a real database, invoice PDFs, credit terms and an overdue list.
Who it's for
Factories that invoice at month end from delivery notes, leave finished batches of a large order unbilled for weeks, and have invoices rejected because the PO number or product code did not match.
What you can build
- An invoice per dispatch, including partial shipments
- Customer PO number and line references on every invoice
- Product codes and quantities matching the delivery note
- Tooling, setup and first-article charges on their own lines
- Credit terms and limits per account
- Overdue list with reminders
Invoice what ships, when it ships
Large orders often leave the factory in batches. Waiting for the whole order before invoicing can leave months of finished goods unbilled, and customers generally prefer invoices that match what arrived. Ask Mythex to create the invoice from the dispatch record: the order lines shipped, the quantities and the delivery note number, with the remaining quantity still open on the order.
- Invoice created from the dispatch
- Open quantity kept on the order
- Delivery note number on the invoice
Match the purchase order exactly
Accounts payable teams match invoices against purchase orders, and a mismatch means rejection and weeks of delay. Put the PO number, the customer's line reference, product code, description and unit price exactly as on their PO. If the price on the PO is wrong, fix it with the buyer before shipping, not on the invoice.
Tooling and setup billed separately
Tooling, setup and first-article inspection are one-off costs. Bill them on their own lines, often on the first order only, so unit prices stay comparable for repeat orders. Record tooling ownership on the account if the customer has paid for it.
- Tooling as a one-off line
- First-article inspection on first orders
- Tooling ownership recorded
Credit control
Store credit terms and a credit limit per account and show current exposure. A weekly list of invoices past due, with the contact in accounts payable, keeps chasing routine. Export invoices to CSV for your accounting package if it does not connect directly.
A prompt to start from
Create an invoicing app for my factory. When a dispatch is recorded, create an invoice for the lines and quantities shipped, with the customer's PO number, line reference, product code and delivery note number, and keep the remaining quantity open on the order. Bill tooling and first-article inspection as separate lines. Apply credit terms per account, show exposure against the credit limit, list overdue invoices weekly and export to CSV.
Questions
Can it invoice partial shipments?
Yes. Each dispatch creates an invoice for what shipped and leaves the rest of the order open for the next shipment.
Can it put our customers' PO numbers on invoices?
Yes. Store the PO on the order and every invoice carries it with the customer's line references. You can block sending an invoice without one.
Can I export to our accounting software?
Yes, by CSV. A direct connection is possible if your accounting package offers an API you connect with your own account.
Do I need coding skills?
No. You describe your invoicing rules and Mythex builds them. Adjust anything by chatting.
What does it cost?
Free to build and publish, with no card, on daily credits. Pro is $25/month and adds a custom domain, code editing and export.
