A Community Centre Dashboard for Room Use, Attendance and Funder Reports

A community centre dashboard puts the numbers trustees and funders keep asking for on one screen: how full each room is, how much hire brought in, how many people each programme reached and how many hours volunteers gave. Mythex builds it on your own booking and attendance data, imported from a spreadsheet if that is where it lives now.

Who it's for

Centre managers who spend the week before every grant report piecing together attendance from sign-in sheets, hire income from bank statements and volunteer hours from memory.

What you can build

  • Room occupancy by room and hour of the day, so empty mid-mornings stand out
  • Hire income split between community, charity and private use
  • Attendance per programme by month, with unique participants and total visits
  • Volunteer hours per month for grant applications
  • A date-range filter and CSV export for each funder's reporting period
  • Free or discounted hire given to partner charities, at its normal value

The figures funders actually ask for

Most funders want a short list: how many people took part, how often, whether you reached the group the grant targeted, and how many volunteer hours went in. Find out exactly what each funder asks for and build the dashboard around those figures rather than every number you could collect. Unique participants and total attendances are different things; show both, because funders often ask for one and trustees quote the other.

  • Unique participants and total attendances per programme
  • Reach against the group a grant targets
  • Volunteer hours per month
  • Value of in-kind support such as free room hire

Using occupancy to plan new programmes

A chart of room use by hour usually tells the same story: weekday evenings and Saturdays are full, weekday mornings are empty. That gap is where a new daytime class, a parent and toddler group or a cheaper off-peak hire rate can bring in people you are not reaching now. Look at the chart each term before you plan the next timetable.

Where the data comes from

If your bookings and sign-ins already run in a Mythex app, the dashboard reads them directly. If not, export your spreadsheet or booking calendar as CSV and import it; the dashboard keeps working as you add rows. Start with one term of data, check the totals against what you know, and only then use it for a report.

Handle participant data with care

Demographic details, such as age bands or postcode areas, are often what funders want, but they are personal data. Collect only what you need, report it in totals rather than names, and keep the detailed records visible to the staff who need them. Check your local data protection rules before collecting anything sensitive.

A prompt to start from

Build a dashboard for our community centre. Show room occupancy by room and hour of day, hire income split by community, charity and private, attendance per programme by month with unique participants and total visits, and volunteer hours per month. Add a date-range filter, a CSV import for our existing spreadsheets, and a CSV export for funder reports.

Questions

Can it use our existing spreadsheets?

Yes. Export your bookings, sign-in sheets or volunteer log as CSV and import them. Mythex saves the rows to your project's database and the charts update as you add more.

Can I share it with trustees?

Yes. Publish it and give trustees a login, or ask for a read-only view. You can keep personal details hidden and show only totals.

Can I export figures for a grant report?

Yes. Pick the funder's reporting period with the date filter and export the table as CSV, or ask Mythex for a printable summary page.

Do I need to know how to code?

No. You say which figures you want and Mythex builds the charts, filters and export. Adding a new chart is a chat message.

How much does it cost?

The Free plan needs no credit card and includes daily credits and publishing. Pro is $25 a month for code editing, export, a custom domain and more credits.
